What is a Scrum of Scrums template?
A Scrum of Scrums template is a ready-made agenda and set of logs for the meeting where representatives of several Scrum teams coordinate their work: a 15-minute agenda, a team update with three standard questions, an impediment log, a dependency list and action items. This page gives you all five, free, as tables and as one Excel workbook.
In Scrum@Scale the meeting is the Scaled Daily Scrum: at least one representative from each team attends, and it "is time-boxed to 15 minutes or less."[1] The templates below are built for that timebox.
Free .xlsx file, no sign-up. Works in Excel, Google Sheets and Numbers.
What is in the free Scrum of Scrums template?
The Excel workbook has six sheets: a read-me and five templates. Example rows are shaded so you can see how each one is filled in.
- Agenda: a 15-minute agenda with who leads each part and what it produces.
- Team updates: the same questions for every team, one row per team per meeting.
- Impediments: what teams cannot solve alone, with an owner, next step and status.
- Dependencies: who needs what from whom, and by which sprint.
- Action items: decisions and follow-ups with an owner and a due date.
Scrum of Scrums agenda template
Keep the Scrum of Scrums to 15 minutes. Spend most of it on team updates, give the rest to the impediments and dependencies that need a decision, and solve problems after the meeting with only the people involved.
| Minute | Item | Who | Output |
|---|---|---|---|
| 0 to 1 | Review open action items from last time | Facilitator | Actions closed or carried over |
| 1 to 9 | Team updates: impediments, impact on other teams, new dependencies | One representative per team | Updated impediments and dependencies |
| 9 to 13 | Impediments and dependencies that need a decision | Facilitator | An owner and next step for each |
| 13 to 15 | Confirm action items and owners | Facilitator | Action list for next time |
| After the meeting | Problem solving with only the people involved | Owners | Resolved or escalated items |
Scrum of Scrums team update template
Every team answers the same three questions, taken from the Scrum@Scale Guide, so updates are short and comparable.[1]
| Question | Example answer from Team Alpha |
|---|---|
| What impediments put our Sprint Goal or delivery plan at risk? | Test environment unavailable since Tuesday |
| Are we doing anything that may block another team? | Changing the payments API schema in sprint 3 |
| Have we found a new dependency, or a way to resolve one? | Team Beta must update its client by sprint 4 |
| Progress against the goal | On track for the sprint goal |
The Scrum@Scale Guide describes the meeting as "a forum to discuss how teams can work together more effectively, what has been done, what will be done, what is going wrong & why, and what the group is going to do about it."[1]
Impediment log template
Log only the impediments a team cannot remove alone. Each one needs an owner and a next step before the meeting ends, and stays on the list until it is resolved.
| Impediment | Team | Impact | Owner | Next step | Status |
|---|---|---|---|---|---|
| Test environment unavailable | Team Alpha | Blocks testing for 2 stories | Platform lead | Restore and confirm by Thursday | Open |
Dependency template
Record each dependency with the team that needs it, the team that provides it and the sprint it is needed in, and review the list at every Scrum of Scrums.
| What is needed | Needed by | Provided by | Needed in | Status |
|---|---|---|---|---|
| Updated payments API client | Team Beta | Team Alpha | Sprint 4 | Committed |
For mapping dependencies across a whole release train, read the dependency management guide.
Action items template
Close every meeting by reading back the action items with their owners and due dates, and open the next meeting by checking them.
| Action | Owner | Due | Done |
|---|---|---|---|
| Ask the platform team for a test environment ETA | Facilitator | Next meeting | No |
How does a Scrum of Scrums work in SAFe?
In SAFe, "the ART Sync consists of two main, synchronized conversations that are typically combined into a single event: The PO Sync and the Coach Sync."[2] The Coach Sync brings Scrum Masters or Team Coaches together on progress, dependencies and impediments, which is the role a Scrum of Scrums plays, so the same templates work for it.
The ART Sync is described as "the primary mechanism for the ART to align during the PI."[2] Use the dependency list from your PI Planning template as the starting point, so the Scrum of Scrums tracks what the teams committed to.
When does a spreadsheet stop working for Scrum of Scrums?
A spreadsheet is fine for a few teams. It gets harder when updates are spread across files, when nobody follows up on action points between meetings, and when impediments and dependencies have to be matched to the real work in Jira or Azure DevOps.
The Kendis Scrum of Scrums feature keeps highlights, impediments, progress updates and action points in one place for Scrum Masters, with reminders for each team and virtual room links, on the same board as your program board and dependencies.
